1. Basics
1.1 This document constitutes the Privacy Policy (hereinafter referred to as the “Policy”) contained on the website at www.fence-konferencja.pl, administered by Arena Operator Sp. z o.o., ul. Bojkowska 59c, 44-100 Gliwice (hereinafter referred to as “Arena”).
1.2. The purpose of the Policy is to define the principles and methods of processing and using data and information from website users. It also contains information regarding the rights of natural persons in relation to their personal data processed by Arena.
1.3. Please read this Policy carefully. By entering or using this site and submitting any personal data, you accept the terms of this Privacy Policy.
1.4. Please note that when leaving this site (e.g., following a link to a page in another domain), you enter an area where this Privacy Policy does not apply. Arena is not responsible for the privacy policies in effect on sites operated by other entities.
2. Personal Data Protection Principles
Arena is the controller of personal data provided by users on www.fence-konferencja.pl. Arena takes special care to ensure that all personal data is processed in accordance with the purpose for which it was collected and used in accordance with the scope of granted permissions (consents) and areas of processing permitted by law.

3.1 Each person providing personal data to Arena through forms posted on the website is informed about the specific purpose for which the data is processed and the legal basis for processing.
3.2. Arena uses personal data only for the purposes indicated below. In particular:

b) when consenting to receive the newsletter,
as well as:
c) when applying for a job position in recruitment organized by Arena,
d) when concluding and executing a contract with Arena,
e) when participating in contests, promotional events, and other events organized by Arena, including those organized through Arena’s Facebook fanpage,
f) when recording images of people through video surveillance.
3.4. Your personal data processed based on consent will be processed until the consent is withdrawn or until the purpose for which the data was collected ceases to exist. The granted consent may be withdrawn at any time without affecting the lawfulness of processing based on consent before its withdrawal.
Data processed in connection with the conclusion and execution of a contract will be processed in accordance with applicable regulations, but no longer than until the expiry of the period in which Arena may pursue claims related to the concluded contract, unless a longer period results from the Accounting Act.
Data processed in connection with the recruitment process will be processed for 6 months after its completion.
4. Security and Information Storage
4.1 Arena ensures the security of personal data through appropriate technical and organizational measures aimed at preventing unlawful processing and accidental loss, destruction, or damage of data.
4.2 Arena takes special care to ensure that personal information is:
a) lawful, fair, and transparent,
b) collected for specified, explicit, and legitimate purposes and not further processed in a manner incompatible with those purposes,
c) adequate, relevant, and limited to what is necessary for the purposes for which they are processed,
d) accurate and, where necessary, kept up to date,
e) kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the data is processed,
f) processed in a manner that ensures appropriate security of personal data,
g) with ensuring the implementation of data subjects’ rights,

5. Data Collection
5.1 When collecting any personal data, Arena records where it was first obtained from.
5.2 Personal data is collected through:
a) online forms – information is collected through various forms available on the website, used for contact purposes, submitting questions, expressing comments,
b) contact without network intermediation – various phone numbers and email addresses are available on the website www.fence-konferencja.pl through which you can contact us,
c) traffic data and statistics regarding frequency of visits to Arena’s pages – we maintain a register of traffic information that is automatically recorded by our server, such as user’s IP address, URLs visited before visiting our site, URLs visited after visiting our site, and pages visited. We also collect statistics about the number of site entries and page views. Arena cannot directly determine the user’s identity based on traffic data and website usage statistics,
d) while using resources of websites managed by Arena – information about users is collected through files such as “cookies”. Cookies – small text files transferred from the website and stored on the user’s hard drive used to customize content and services to individual needs and interests of service users. They allow the site to “remember” who you are. Users can disable the cookie acceptance option in their browser at any time, however, this change may result in the loss of ability to use www.fence-konferencja.pl. 6. User Rights
6.1 Arena respects the rights of each person related to the processing of their personal data. In particular, each person whose data is processed has the right to:
a) obtain information about the processing of their personal data,
b) access data, request its rectification, completion, and modification,
c) data erasure (“right to be forgotten”),
d) restriction of data processing,
e) data portability
f) object to the processing of their data for Arena’s legitimate purposes as data controller, including direct marketing of its products and services and profiling, as well as the right not to be subject to a decision based solely on automated processing.
6.2. Arena reserves that in case of inability to absolutely identify a person, for example in connection with the scope of data provided by them, it may refuse to take action at the request of the data subject by informing that person, unless the person provides additional information allowing their identification.
6.3. Arena informs that it has no obligation to erase data (“right to be forgotten”) in cases where processing is necessary for:
a) exercising the right of freedom of expression and information,
b) compliance with a legal obligation which requires processing under European Union or Polish law, or for the performance of a task carried out in the public interest,
c) archiving purposes in the public interest, scientific or historical research purposes, or statistical purposes,
d) the establishment, exercise, or defense of legal claims.
6.4. If the User objects to further processing for marketing purposes, profiling, or transfer of personal data to another data controller, the objection is considered. However, the data controller may retain in the collection data identifying the natural person solely to avoid re-using that person’s data for purposes covered by the objection.
6.5. Users may exercise their right to information and access to data no more frequently than once every 6 months. At the request of the data subject, the data controller is obliged to provide necessary information within 30 days.

7. Scope of User Data Sharing
Arena declares that it does not sell or lend collected personal data of users to other persons or institutions, unless it is done with explicit consent or at the user’s request, or at the request of state authorities authorized by law for their proceedings or activities related to security or defense, for legally defined tasks carried out for public good, when it is necessary to fulfill Arena’s legally justified purposes.
8. Changes to the Privacy Policy
Changes to Arena’s privacy policy may be influenced by changes in legislation regarding personal data protection, as well as other factors. Customers and users will be immediately informed about any changes on our website. In case of changes to the current privacy policy, appropriate modifications will be made to the above statement.
9. Right to Complaint
In any case where a natural person considers that their rights resulting from legal provisions and this privacy policy are violated, they have the right to file a complaint with the Personal Data Protection Office located in Warsaw at Stawki 2 street.
