REGULATIONS FOR PARTICIPATION IN THE FENCE 2026 CONFERENCE<\/strong><\/p>\n\n

\u00a71. General Provisions <\/strong><\/p>\n\n

    \n
  1. These Regulations define the terms and conditions for participation in the FENCE 2026 conference \u2013 Security of Mass Events in Light of Current Threats (hereinafter referred to as the “Conference”).<\/li>\n\n\n\n
  2. The Conference will take place on the following dates and at the following locations:a) May 13, 2026 \u2013 PreZero Arena Gliwice (ul. Akademicka 50, Gliwice);b) May 14, 2026 \u2013 Superauto.pl Stadion \u015al\u0105ski (ul. Katowicka 10, Chorz\u00f3w). <\/li>\n\n\n\n
  3. The Organizers of the Conference are:<\/li>\n<\/ol>\n\n
      \n
    • Arena Operator Sp. z o.o. with its registered office in Gliwice; <\/li>\n\n\n\n
    • J. Kukuczka Academy of Physical Education in Katowice; <\/li>\n\n\n\n
    • Superauto.pl Stadion \u015al\u0105ski.<\/li>\n<\/ul>\n\n
        \n
      1. The Conference does not constitute a mass event within the meaning of the Mass Event Security Act.<\/li>\n\n\n\n
      2. Entry to the premises implies acceptance of these Terms and Conditions, including rules regarding personal data processing and image recording, as well as the venue regulations applicable respectively at PreZero Arena Gliwice and Superauto.pl Silesian Stadium, and the principles of video surveillance operation. Entry also constitutes entering into a participation agreement with the Organizer. <\/li>\n<\/ol>\n\n

        \u00a72. Rules of Participation and Registration<\/strong><\/p>\n\n

          \n
        1. Participation in the Conference is free of charge.<\/li>\n\n\n\n
        2. Participation is conditional upon prior online registration or possession of a personalized invitation.<\/li>\n\n\n\n
        3. Open online registration entitles participation only on the first day of the Conference (May 13, 2026).<\/li>\n\n\n\n
        4. Participation in the full, two-day program (May 13\u201314, 2026) is reserved exclusively for individuals holding a personalized invitation confirmed by the Organizers.<\/li>\n\n\n\n
        5. Registration is personal. The Organizers reserve the right to close registration once the participant limit has been reached. <\/li>\n<\/ol>\n\n

          \u00a73. Safety and Evacuation Drills <\/strong><\/p>\n\n

            \n
          1. Participants are obliged to comply with the safety and fire protection regulations applicable in the facilities. <\/li>\n\n\n\n
          2. It is forbidden to bring weapons, dangerous materials, alcohol, intoxicants, or drones into the Conference area.<\/li>\n\n\n\n
          3. Participation in the Conference implies consent to take part in planned practical evacuation and security procedure drills. Participants undertake to strictly follow the instructions of the Organizers and security services. <\/li>\n\n\n\n
          4. Participants confirm that their health condition allows for safe participation in the drills. Individuals with mobility limitations are requested to report this to staff before the drills begin to ensure assistance. <\/li>\n<\/ol>\n\n

            \u00a74. Identification <\/strong><\/p>\n\n

              \n
            1. Entry to the event area is possible upon presentation of an identity document and collection of an identification badge.<\/li>\n\n\n\n
            2. Participants are obliged to wear their identification badge in a visible place throughout the duration of the event.<\/li>\n<\/ol>\n\n

              \u00a75. Safety and Order Rules \u2013 Prohibited Items <\/strong><\/p>\n\n

                \n
              1. The following items are specifically prohibited from the Conference area:\n
                  \n
                1. firearms, ammunition, bladed weapons, and other dangerous tools;<\/li>\n\n\n\n
                2. explosive materials and devices, pyrotechnics, fireworks, flares, smoke bombs;<\/li>\n\n\n\n
                3. corrosive, toxic, flammable substances or substances of unknown composition;<\/li>\n\n\n\n
                4. pressurized containers (excluding certified inhalers\/prescription medications);<\/li>\n\n\n\n
                5. beverages in glass or hard containers (except those permitted by the Venue Operator) and externally brought alcohol;<\/li>\n\n\n\n
                6. drones and flying devices;<\/li>\n\n\n\n
                7. laser pointers and high-power flash lamps;<\/li>\n\n\n\n
                8. sound amplification devices and instruments (unless approved by the Organizer);<\/li>\n\n\n\n
                9. banners\/signs on poles and materials with offensive content or inciting hatred;<\/li>\n\n\n\n
                10. animals (except assistance dogs);<\/li>\n\n\n\n
                11. other items that security services determine may threaten safety or order.<\/li>\n<\/ol>\n<\/li>\n\n\n\n
                12. Commercial, advertising, agitation, or political activities are prohibited on Conference premises without written consent from the Organizer.Recording the event by Participants for commercial purposes requires separate approval from the Organizer.<\/li>\n<\/ol>\n\n

                  \u00a76. Monitoring and Recording of Proceedings <\/strong><\/p>\n\n

                    \n
                  1. The venue premises may be monitored; recordings serve to ensure the security of people and property.<\/li>\n\n\n\n
                  2. The Conference may be photographed and filmed for documentation and promotional purposes. Participants may raise objections regarding the publication of shots where they are the main subject – these will be considered in accordance with law and the Organizer’s legitimate interest. <\/li>\n<\/ol>\n\n

                    \u00a76a. Recording and Use of Participants’ Image <\/strong><\/p>\n\n

                      \n
                    1. Participation in the Conference constitutes consent to free recording and distribution of the Participant’s image by the Organizer, co-organizers, and event partners, in the form of photographs, video recordings, and promotional-informational materials, particularly through publication on social media, websites, press materials, and media coverage of the Conference.<\/li>\n\n\n\n
                    2. The consent mentioned in paragraph 1 applies to the Participant’s image captured incidentally, in the background, or as part of the overall public event. <\/li>\n\n\n\n
                    3. For use of images where the Participant is the main subject (portrait, interview, statement), the Organizer will obtain separate consent in written or electronic form.<\/li>\n\n\n\n
                    4. Participants may at any time object to the publication of their image; this will be considered in accordance with personal data protection regulations and the Organizer’s legitimate interest.<\/li>\n\n\n\n
                    5. The Organizer is not responsible for image recording and publication by third parties (e.g., media, participants, media partners) acting independently of the Organizer.<\/li>\n<\/ol>\n\n

                      \u00a77. Powers of Security Services <\/strong><\/p>\n\n

                        \n
                      1. Security personnel, performing personal and property protection duties, are specifically authorized to:\n
                          \n
                        1. verify authorization to be in event zones and check identification of persons;<\/li>\n\n\n\n
                        2. request persons without authorization or disturbing order to leave the premises;<\/li>\n\n\n\n
                        3. detain persons posing immediate threat to life, health, or property – for transfer to Police;<\/li>\n\n\n\n
                        4. inspect baggage and cargo (with owner’s consent or in cases provided by law);<\/li>\n\n\n\n
                        5. use direct coercion measures as specified by law.<\/li>\n<\/ol>\n<\/li>\n\n\n\n
                        6. Participants must follow security and Organizer instructions. Failure to comply may result in removal from the event premises without right to refund. <\/li>\n<\/ol>\n\n

                          \u00a78. Copyright and Content Protection <\/strong><\/p>\n\n

                            \n
                          1. Conference materials and speakers’ presentations are protected by copyright.<\/li>\n\n\n\n
                          2. The Organizer may record the Conference proceedings in the form of audio-video recordings for their potential later dissemination to participants or publicly \u2013 for educational and promotional purposes.<\/li>\n\n\n\n
                          3. Participants are not entitled to claim access to event recordings or materials.<\/li>\n\n\n\n
                          4. Participants are strictly prohibited from recording (audio\/video) presentations and discussion panels without prior written consent from the Organizers.<\/li>\n<\/ol>\n\n

                            \u00a79. Liability <\/strong><\/p>\n\n

                              \n
                            1. The Organizers are not responsible for items left unattended, nor for the theft or damage of electronic equipment brought by Participants.<\/li>\n\n\n\n
                            2. Participants bear full financial responsibility for damages caused on the premises due to their fault.<\/li>\n\n\n\n
                            3. The Organizer is not responsible for technical difficulties beyond their control (e.g., equipment failures, network access interruptions).<\/li>\n\n\n\n
                            4. The Organizers reserve the right to make changes to the program due to unforeseen circumstances, ensuring equivalent substantive value.<\/li>\n<\/ol>\n\n

                              \u00a710. Accessibility and Equal Treatment <\/strong><\/p>\n\n

                                \n
                              1. The Organizer strives to ensure event accessibility for persons with disabilities; needs in this regard should be reported at least 7 days before the event.<\/li>\n\n\n\n
                              2. Assistance dogs are allowed upon presentation of appropriate documents.<\/li>\n<\/ol>\n\n

                                \u00a711. Personal Data (GDPR) <\/strong><\/p>\n\n

                                  \n
                                1. The Organizer is the data controller for registration and communication purposes; venue operators are controllers for monitoring and security purposes respectively for each event day.<\/li>\n\n\n\n
                                2. Personal data, including images recorded during the event, are processed based on Article 6(1)(b) and (f) GDPR – for executing the participation agreement, ensuring security, and the Organizer’s legitimate interest in documenting and promoting the Conference. <\/li>\n\n\n\n
                                3. Data may be shared with entities cooperating with the Organizer in registration, payment, promotion, and security services.Detailed privacy notice is provided during registration.<\/li>\n<\/ol>\n\n

                                  \u00a712. Final Provisions <\/strong><\/p>\n\n

                                    \n
                                  1. Matters not regulated herein shall be governed by the provisions of the Civil Code and Polish law, as well as the regulations of the respective facilities.<\/li>\n\n\n\n
                                  2. The Organizer may modify these Terms and Conditions for important organizational, legal, or safety reasons; the modified text is effective from the moment of publication or distribution to participants.<\/li>\n\n\n\n
                                  3. The Organizer reserves the right to cancel or change the date of the event.<\/li>\n\n\n\n
